SyncBrief Help
Everything below happens on your device or under your own provider account. SyncBrief has no servers: nothing is uploaded unless you pick a cloud provider, and then only to that provider, under your key.
Getting started
Pick your providers
Settings → Providers. Choose a transcriber (OpenAI, Deepgram, AssemblyAI — or Whisper / Apple, which run on-device) and a summarizer (Anthropic, OpenAI, or Apple on-device). The model row shows live per-minute and per-token prices.
Add keys — or go offline
Cloud providers need your own API key, pasted once in Settings → API keys (stored in the Keychain only; the Verify button checks it free of charge). Whisper + Apple summarizer need no key and no internet at all.
Record or import, then transcribe
Adding audio never costs anything and contacts nobody. Transcription starts only when you tap it — that's the one step that uses your provider, and the app tells you which provider will see the audio before the first time.
Recording meetings
iPhone & Apple Watch
Tap the mic button (or the Control Center control, or the watch complication). Recording survives the phone locking. Watch recordings transfer to the iPhone library automatically. The watch app needs a Series 4, SE or later — it won't appear on a Series 3.
Mac: online calls, both sides
In the Mac's record sheet, enable “Also record this Mac's audio”. Your mic and everything the Mac plays — the far side of a Zoom, Meet, Teams or WhatsApp Desktop call — land in one file. macOS asks once for system-audio permission.
Mac: meeting detection
Settings → Meeting detection. When another app starts using the microphone, SyncBrief notifies you with a one-tap Record button — or records automatically if you opt in. Detection reads no audio, only whether a meeting app is using the mic. Recording stops on its own about a minute after the call ends.
Calendar matching
Settings → Calendar. SyncBrief reads the calendars already on your device (iCloud, Google, Exchange) — read-only, on-device — to title recordings after the meeting in progress and list today's meetings in the recorder. Turn on reminders to get a notification with a Record button two minutes before each meeting.
Phone calls on iPhone
iOS lets no third-party app record cellular or WhatsApp calls directly. For cellular calls, use iOS's built-in call recording (iOS 18.1+, in the Phone app — both parties hear a notice), then share the recording to SyncBrief from Notes. For WhatsApp/Zoom calls, take them on the Mac and use the Mac recorder.
Importing audio
USB voice recorders
Mac: just plug it in — SyncBrief spots the new recordings and offers them (already-imported files are skipped automatically). iPhone: connect the recorder (USB-C directly; on Lightning iPhones use Apple's Lightning-to-USB-3 camera adapter with power), then tap Import and pick the drive under Locations.
Watched folder (Mac, Pro)
Settings → Watched folder. Anything dropped into the chosen folder imports by itself — pair it with a cloud-synced folder and recordings from other devices flow in.
Share sheet & drag-and-drop
Share any audio from any iPhone app to SyncBrief. On the Mac, drop files onto the window or the Dock icon, or use Open With from Finder.
Working with results
Speakers
Lines are labeled S1, S2… — by the provider when it can tell voices apart, otherwise identified on this device, in parallel with transcription (a small voice model downloads once from Hugging Face; audio never leaves the device). Tell it how many people were in the meeting — before transcribing or via the Speakers menu afterwards — when similar voices get merged. Tap a label to rename it everywhere.
Mind map, timeline, transcript
Each recording has four tabs. The Mind Map lays the meeting out as a collapsible tree — topics with their times, decisions and action items beneath them; fold branches to skim, and tap any node, timeline row or transcript line to jump playback there.
Edit and regenerate
Summaries are editable, and you can regenerate with a different model — your edits are kept alongside, never overwritten. Timestamps the AI can't back up with the transcript are flagged, not presented as fact.
Export
Any recording exports to Markdown, PDF, plain text or JSON. Summaries carry an “AI can make mistakes” caution — or, once you've edited one and set your name in Settings → Export, a “reviewed and edited by you” credit, with your consent asked each time. The Mac adds batch export of the whole library (Pro). Exports never contain your API keys.
Troubleshooting
“Found no speech” or wrong language
Set Settings → Language to match the recording (or Multilingual for mixed-language meetings). Whisper on-device detects language by itself and is the reliable fallback.
Mac call recording is silent on one side
Check System Settings → Privacy & Security → allow SyncBrief's system-audio recording (and microphone). Both permissions are asked once on first use.
Library problems
Settings → Support → “Recover corrupted library” checks the database and rebuilds the search index, then tells you honestly what it found. For anything else: Settings → Support → Report a bug — it opens a pre-filled email to us, with optional diagnostics you can review before sending.
